Erasmus funding for IHU staff

Erasmus Staff Mobility, which is a part of the Life Long Learning  Programe, offers a great opportunity  to IHU’s faculty and staff members to carry out a period of teaching or training at a partner university or a company in Europe. IHU’s staff can participate in two strands of Erasmus:

Staff Training Mobility

The Erasmus programme offers a great opportunity for IHU’s administrative, academic and non-teaching staff to make short visits to Higher Education Institutions, Companies or other organisations abroad and to educate themselves on issues related to the working object /qualification at the IHU. Within the broad objective of staff training, this action encompasses two types of mobility:

  1. Mobility of staff of a higher education institution going to an enterprise.
  2. Mobility of administrative and other non-teaching staff from a higher education institution going to a partner higher education institution.

Duration

The duration of the training period should be from 5 working days (minimum) to 6 weeks.  Weekends or holidays falling in the period of the stay abroad are not considered for support, unless they are used as working or travel days. In such cases the work plan should demonstrate that training activities have been undertaken for the period reported.

Arrangements

  • A prior approval from the staff’s supervisor must be sought to gain permission for leave of absence. This should be negotiated locally. 
  • In case the host institution is a Higher Education Institution, a Bilateral Agreement must be in force between sending and host institution.
  • For the staff training grants, the selection of the staff will be made on the basis of a “Work Plan” submitted by the applicant. The work plan must be endorsed by both the sending and receiving institution or enterprise before the exchange is organised.
  • The two institutions must agree in advance on the content of the training, prior to the start of the mobility period. 

Selection Criteria

The selection of applications is made by the Governing Board.  Interested members of staff should be aware that the selection criteria are the following:

1. Priority will be given to staff who have not received Erasmus staff mobility funding for the last two (2) years.

2. In the case of more than one applicant from the same School for a similar Programme, priority will be given to one application to ensure equal opportunities among the Schools (based on the criterion of representativeness of the Schools and not percentage of the number of applications per School).

3. Priority will be given to applications to Higher Education host Institutions with an international scope.

4. Priority will be given to permanent administrative staff.

Priority will be given to administrative staff according to the strategic policies of the Institution for improvement of quality and internationalization of administrative services.

The duration of training should range from 2-5 days, plus 2 days maximum.

For the selection process the applicants must initially submit:

  1. A Letter of Acceptance by the host Institution, which must be sent by email or fax directly to the Liaison Office of the home Institution.
  2. The Training Mobility Agreement form in English clearly scanned or originally stamped and signed by the a) applicant b) Head of the Department/School and c) host organization. This   constitutes an integral part of the contract.
  3. A Certificate from the Highest Administrative Body of the University justifying the benefit of the staff mobility training Programme to the applicant, originally signed and stamped as well as originally signed by the applicant.

The Staff who are eligible for Erasmus mobility will receive funding for:

a) Travel expenses depending on distance

b) Personal expenses depending on the host country

Please note that the grant is aimed to offset the additional mobility cost (travel and personal expenses) of travel to the host country and is not intended to cover the total cost incurred as a result of the mobility abroad.

Application

  • The interested staff member should contact the Career Office.
  • A complete “Work Plan” must be submitted to the Career office.  The Work Plan must be submitted as fully endorsed by the Host institution at the time of application.
  • The work plan must consist of at least:
    • Overall aims and objectives
    • The detailed training programme
    • Expected outcomes
      A template of the “Work Plan” may be sought at the Career Office

The evaluation and final approval of the requests will be made by the respective School’s  General Assembly.

Staff Teaching Mobility

Teaching Mobility can be undertaken

  • In a Higher Institution which holds a standard Erasmus University and with which a valid Inter –Institutional Agreement is in place (Bilateral Agreement).
  • By incoming staff of an enterprise invited by to IHU to undertake teaching activities.

Duration

The recommended minimum duration for teaching assignments is 5 days; this is in order to provide a meaningful contribution to the teaching programme and international academic life at the host institution. The maximum duration is 6 weeks. Teaching assignments shorter than the recommended minimum period must include at least five teaching hours. (i.e. at least one day) Travel must take place between 1st July and 31st July (following year);

Arrangements

  • The teaching assignment must be carried out in a higher education institution holding an ERASMUS University Charter.
  • A Bilateral Agreement must be in force between sending and host institution.
  • The two institutions must agree in advance on course content to be taught, prior to the start of the mobility period.  In any case, the activities of staff undertaking a teaching assignment should be integrated into the curricula of the host institution.
  • Teaching staff of higher education institutions is selected by the sending institution; staff from enterprises is selected by the host institution.
  • In the case of staff mobility from an enterprise to a higher education institution, the mobility is arranged by an invitation of the higher education institution to the staff member of the enterprise. The grant is always managed by the higher education home institution.

Application

  • The interested staff member should contact the Career Office.
  • A complete teaching programme /Work Plan and an invitation letter from the host institution must be submitted to the Career Office.  Invitation letter can be an invitation e-mail sent by the contact person at the host institution. The teaching programme /Work Plan must be submitted as fully endorsed by the Host institution at the time of application.
  • The work plan must consist of at least:
    • Overall aims and objectives
    • A detailed  teaching programme if possible
    • Expected outcomes
    • Activities to be carried out

The evaluation and final approval of the requests will be made by the respective School’s General Assembly.

Erasmus Funding for Staff Mobility

The funding is provided as a contribution towards subsistence and travel. It cannot be used to pay for courses, conferences, entrance tickets or local travel.

The programme covers
Travel expenses (a two way transition)
Accommodation expenses paid in the form of a fixed daily allowance. The amount depends on the destination country and the total days of stay.

For the assessment of real costs, supporting documents are required: Boarding passes, travel tickets and photocopy of Visa (if applicable).
