Erasmus Funding for IHU Students for Practical Training Abroad-Student Placements

What are the objectives of student placements?

  • To help students to adapt to the requirements of the EU-wide labour market;
  • To help students perform research or data collection activities related to their studies at the IHU and particularly to their final dissertation project;
  • To enable students to develop a specific skill (including language skills) and to improve understanding of the economic and social culture of the country concerned in the context of acquiring work experience;
  • To promote cooperation between higher education institutions and enterprises;
  • To contribute to the development of a pool of well-qualified, open-minded and internationally experienced young people as future professionals.

Eligibility and how to apply

The student must either be

  • a national of a country participating in the Lifelong Learning Programme or
  • a national of another country who is enrolled in regular courses in institutions of higher education in a participating country, under the conditions determined by each of the participating countries, taking into account the nature of the programme.

The student applying must be registered at a higher education institution which holds an Extended ERASMUS University Charter.

Recent Graduates on their first year of graduation are also eligible for the programme under the condition that their application had been approved as long as they were students, on their last year of study and must carry out and complete the traineeship abroad within one year of graduating.

All IHU students normally enrolled in one of the IHU masters courses, regardless of nationality are qualified. In order to be eligible, however, the student must have at least one course requirement pending. Such a course requirement might be, for example, the final dissertation project, where applicable. Students who have successfully completed all course requirements are NOT eligible to apply for an ERASMUS scholarship.

For how long can students go abroad?

IHU students can apply for a placement of between 2 and 12 months. Placements for a period of less than two months are not allowed under ERASMUS regulations. The exact duration, to be approved by the School, depends on available funds and the justification provided by the student in the application.

The same student can be subsidized with the ERASMUS scholarship for no more than 12 months for every study circle, regardless the number and type of his mobility. (Studies or placement)

Deadline

ΝΟΤΕ: If the number of students who are applying for ERASMUS PROGRAMME exceeds the funds that IHU is provided by IKY a priority list according to your date of acceptance by the hosting institution stated on your Acceptance Letter will be used as a criterion to accept/reject your application.

Should I choose ERASMUS Studies Programme or ERASMUS Traineeship Programme?

If you choose the Erasmus Studies Programme you will have the opportunity

  • to expand your knowledge in a different academic background
  • collaborate with students of different academic and cultural backgrounds
  • become fluent in the country’s language

If you choose the Erasmus Traineeship Programme you will have the opportunity

  • to acquire professional experience relevant to your study area
  • become familiar with the European labor market
  • develop awareness of the economic and cultural conditions of other countries

Where may placements take place?

Host organizations for student placements must be based in one of the ERASMUS participating countries and may be:

  • any small, medium or large (private/public) enterprise
  • training centers, research centers and other organizations
  • A Higher Education Institution holding an Extended or Placement Erasmus University Charter (EUCX or EUCP). Please contact the Career Office for a list of universities that fulfill the requirement.

What financial support is provided?

An ERASMUS grant helps students cover the travel and subsistence costs incurred in connection with their placement period abroad. More specifically, the following are covered:

  • Subsistence costs as a fixed monthly allowance (amount depends on destination country). Students with disabilities receive higher allowances
  • Visa costs (if required)
  • Health insurance costs

In some cases, students may receive an extra financial contribution or a contribution in kind from the host enterprise/organization.

Other restrictions to ERASMUS financial support?

  • Erasmus+ enables students to study or train abroad more than once as Erasmus students as long as the minimum duration for each activity and a total maximum of 12 months per study cycle is respected either for studies or placement.
  • IHU Students receiving a national or private grant/scholarship for their studies at the IHU may continue receiving these grants for the entire duration of their ERASMUS placements abroad.
  • Students already receiving an Erasmus Mundus grant, however, are NOT eligible for a parallel ERASMUS grant during the same period.

NOTE: Students with pending financial issues with IKY OR have cancelled without serious justification their participation in the ERASMUS programme the previous years ARE NOT eligible for the programme.

How to apply?

Interested students should:

  1. You can apply for ERASMUS studies programme only to Universities and Institutions which have signed a Billateral Agreement with IHU. Contact the Erasmus Office to consult which these organizations are.
  2. Look for one or more prospective enterprises, universities or other institutions based in one of the 34 ERASMUS participating countries where you would be interested in carrying out your practical training, field trip or senior project. It is advisable that you contact them yourselves and receive at least a tentative approval for your visit and work there.
  3. Contact the Erasmus Office, sending a list of your selected institutions containing all necessary details (name of institution/company, type of institution/company, city, country and address). The Erasmus Office will confirm whether these institutions are eligible.
  4. Apply online at  https://e-services.ihu.edu.gr/registration-form/785/online-form when the call is announced.
  5. Wait for results: There will be a selection procedure among applicant students, which will be carried out by the Erasmus Committee of the UCIPS.

What are the IHU’s Selection Criteria for the ERASMUS programme?

  • Proof of language proficiency in the language of the destination
  • Review of each candidate’s transcript with all courses taken (passed and failed, if any) Students with the most courses passed will be selected;
  • Candidate’s overall average grade;
  • Consistency between the candidate's work placement action plan and the content of the Masters programme attended at the IHU.
  • Preference order of the Host University/Organization as selected by the candidate.

What arrangements are made for the students who are selected to receive an ERASMUS grant?

Prior to their departure, the students are provided with:

  • Α Grant agreement for Erasmus+ HE studies and/or traineeships covering the mobility period, signed by the student and the IHU
  • A Learning Agreement for traineeships regarding his or her specific programme for the placement period. This agreement is endorsed by the IHU and must be endorsed by the host organization, too.
  • A list of personal documents that should be submitted to IHU prior to departure.

Upon their arrival students will be provided with certain links and passwords to fill in the On-line Linguistic Support form, to assess their knowledge in the language of the country their placement will take place.

At the end of the period abroad:
After returning to the IHU, and within a period of one month, a student must provide IHU with the following documents:

  • A Learning Agreement for traineeships regarding his or her specific programme for the placement period. This agreement is endorsed by the IHU and must be endorsed by the host organization, too.
  • A Placement Certification signed by the hosting institution.
  • A list of personal documents that should be submitted to IHU prior to departure.

Can I extend my stay abroad?

If you are already studying/doing a traineeship abroad and would like to extend it, you can request an extension of the duration of your period abroad at the latest one month before the foreseen end date upon which you had agreed in your Learning Agreement. Please bear in mind that the total duration of the period abroad, including previous participation in the Erasmus-Lifelong Learning programme, cannot exceed 12 months per study cycle (except for one-cycle study programmes, such as Medicine, where the maximum is 24 months for the entire study programme). This limit includes any time spent abroad, even if you did not receive a grant from EU funds. Provided that you have not reached the 12-month limit mentioned above, your sending and receiving institutions may agree to extend the duration of your period abroad. If you have received a grant from EU funds, your institution may propose that the extension of your period abroad be considered a “zero-grant” period, if the entire available budget has already been allocated. Alternatively, it may agree to modify your grant agreement so that it covers the extended duration of your period abroad. In any case, you will need to modify the Learning Agreement and receive an e-mail confirming these changes both from your sending and receiving institution.

How is the mobility period recognized?

IHU ensures full academic recognition of study periods spent by students at a recognized institution, through the ECTS. Students will receive full credit for all academic work successfully carried out at any of the ECTS partner institutions based on the prior signed learning agreement. Regarding incoming students, at the end of their period of study, IHU issues a Transcript of Records and sends it to the sending institution, in order to formally certify the work completed, the courses attended, the credits awarded and the local grades received during the mobility period. Traineeship is not included in IHU’s student curriculum, thus on satisfactory completion of the training programme, IHU records it in the Diploma Supplement.
